Save time and Improve Accuracy in entering your bills I am an Advanced Certified QuickBooks Pro Advisor. I work with companies in all industries, although my primary expertise is with service companies and billing, accounting and practice management software. Are you using QuickBooks Online? Do you enter the same vendor bills month after month? If you get bills in PDF or image format or you want to scan in bills you can save time in your monthly process. With the Prizm Capture app in Intuit App Center, you are on your way. Pros: • Recognizes information from your invoice to save manual keying o save time o improve accuracy • Good technical support Cons: • Only assign to asset and expense accounts • No split capability With Prizm Capture you upload a bill image, confirm and load the information into QuickBooks Online. The system will attempt to match your vendor automatically. You should make sure your vendor data (name, address, phone numbers) in QuickBooks Online matches what is on the invoice to insure recognition. If it is not recognized, you identify the vendor from the bill and tie it to a vendor in your database. You also identify the Invoice date, Invoice number, Due Date and Amount. Prizm Capture will try to find this information on your bill automatically but you can show it where the information is located if it can’t find it. Prizm Capture offers a 30 day free trial; you don’t even have to give them a credit card. After 30 days they offer two plans: Standard - $19 per month for up to 100 invoices or Premium - $49 per month for unlimited invoices. (Note prices are based on the website as of 1/27/2013 and are subject to change). I did experience some problems in using Prizm Capture and reached out to their technical support. I received fast responses and, when I identified a bug they apologized and worked to fix it. This is one of the advantages of Cloud based systems, they can generally make changes more quickly and you don’t have to install the updates. If a scanned invoice is more than one page and there is not an invoice number on each page, the invoice may be uploaded as two invoices. You can combine the pages back together fairly easily. It is also obvious how to identify a section of an invoice as having specific information. There are some limitations that may impact whether or not Prizm Capture is right for you. • You can only assign invoices to Asset or Expense accounts. For most invoices this will not be an issue but you should be aware of this. • The vendors must already exist in your QuickBooks database, they cannot be added through Prizm Capture. Once you add the vendor to QuickBooks Online the list is quickly and easily refreshed. • Invoices must have a vendor name and address to be recognized. In general this is not a problem but I discovered that my health insurance bill, which is paid automatically from my checking account, does not have an address on it. • Invoices can only be assigned to a single line item, there is no split capability Note that this information is based on the system as of the date of this review. Some of these areas are features that they intend to add, so check the program for yourself or contact them to see if the feature you need has been added. Prizm Capture supports Chrome, IE 9, IE 10, Firefox and Safari. I did have a problem with it recognizing some dates and they were working on fixing that when I last spoke with them. Overall, I give Prizm Capture 4 stars. If you are looking to convert paper invoices to date in QuickBooks give it a try. January 28, 2013

What are the best settings to scan invoices?: It is best to scan at 300DPI and in gray. While we will successfully process images at lower resolution and in black and white, you will have better success if you scan with these settings. Save to a lossless file type such as PNG or TIFF using LZW. Avoid Jpeg if possible.
How do I get Prizm Capture to learn?: Prizm Capture learns from you telling it where fields are located. If Prizm Capture picks the wrong field, for example, if it misses the Purchase Order number, you can teach it where to look by clicking in the Purchase Order field on the right then using the mouse to highlight the purchase order value on the invoice image on the left. Just move the mouse near the purchase order number and left mouse click and hold while you drag to cover the value. The value will show up in the field on the r
Why isn’t Prizm Capture correctly identifying my vendors?: Prizm Capture uses address, phone number and name of the vendor to identify the vendor. Make sure the vendor listed in QuickBooks Online has the same values as what is on the invoice. If you make changes, go to the Prizm Capture Account Settings page, on the Interfaces and Plugins tab, click on Synchronize My QuckBooks Data button.
What should I do if all of the pages are not included in the invoice I processed? What do I do if one invoice is split into multiple invoices? In: In the Verify screen there is multipage button (looks like 2 pages) above the invoice image. Click on this and add the pages that should be part of the invoice. Then resubmit it for processing.
